What is resource overallocation in ms project




















Specifically, this is about a situation where we had a Resource that was clearly NOT over allocated. I have some screenshots below that explain the situation in detail.

We also tested this in Microsoft Project Professional desktop and had the exact same results. Both the problem and the resolution worked the same in as in So we are all on the same page, what is the definition in Microsoft Project of an over allocated Resource?

In this case, we had a Resource that was clearly not over capacity or over allocated. But, in the Team Planner the Resource was showing over — including on weekends. But, it also shows over allocation on days that are not over allocated. Here we see in the Resource Sheet that the Resource called Team Lead is showing an over allocation in red and this screenshot shows that this is a normal Work Resource with a Standard calendar.

BUT, look at those numbers — the assignments are only 3,. The Resource has 40 hours a week available. If you select Automatic Level, Clear the checkbox. When this check box is cleared, the Project only level assignments that are new or unleveled. This check box is selected by default, but in automatic leveling, the selection may significantly slow down the work in your plan because all tasks are leveled. In Look for overallocations on a … basis box, select a basis to adjust the sensitivity of the recognition assignment.

The default is day by day. This setting determines the point at which you need to make leveling: a minute, day, week or month basis. Automatical leveling is performed as soon as the task or resource is changed.

This option enablement ensures that each leveling operation uses a new start instead of continuing the task that has been leveled. Enablement of this option does not increase the duration of the plan. It only addresses the extent of assignments to available slack. Enable this option to make resources start when a task is available. This means that tasks scheduled to start at the same time may start at different times, depending on resources availability.

Also, if you have multiple resources assigned to a task, one person can start and another person can join. It allows a task to leave the work to perform other tasks or meetings and resume later. If this option is not selected, a day task will be scheduled for a day gap in resource availability.

When this option is selected, it will split work for a shorter period. It means that checking this option, you will create a shorter lead time for the plan. MS project can indicate whether it is a proposal only or a final booking task. By default, the final booking is always on. This option will have no effect on you if you do not change the booking type of resources. There is a lot more here that can get you into trouble, so I recommend making sure that you take some time to learn more about this leveling feature and decide if it is right for you, BUT the look for overallocations setting can really dramatically cut down on what Project alerts you to that are overallocated.

Essentially now this is looking for work that exceeds a resources capacity by week , not by day. For example, if you were overallocated by 1 hour on a Thursday, but worked 1 hour less on Friday, it would flag you as overallocated on a Day by Day basis. If so, you now have a few options that will help you address this and possibly save lots of time in not having to try and fix or address small issues when the glaring 90 hour weeks are showing up as the 3 hours of overallocation.

Turn It Off First of all, you can just turn the alert off. Uncheck this toggle to turn off ROGG warnings. At the bottom of the Task Inspector, you can just use this toggle. Access the Leveling Options. Happy Project Scheduling and Resource Management to you!
